Accounting Specialist & Office Manager

Job Purpose Assist Administrative Services Director with accounting functions for all CAN Council Great Lakes Bay Region organizations.  Assist Administrative Services Director with administrative functions of Human Resources management.  Office Manager for all locations.

Reports to and evaluated by Administrative Services Director
Requirements Bachelor’s degree in accounting or business administration required; 3+ years’ experience in similar role. Knowledge of nonprofit accounting, QuickBooks software and human resources required; close attention to details; strong organizational and collaborative skills; ability to work independently, efficiently, timely, effectively and with flexibility and good humor.  Travel throughout the entire service area of CAN Council required. Flexibility to participate in evening/weekend engagements required.

Accounting Responsibilities

  • Accounts Receivable – invoicing, producing statements, collections, ensuring online deposits are posted
  • Accounts Payable – ensure accuracy and code invoices, work with Bookkeeper to ensure payment of all organizations’ invoices
  • Payroll – process bi-weekly payroll and ensure monthly, quarterly and annual payroll reporting
  • Fundraising Accounting – reconcile all fundraising income and expenses, produce and analyze reports
  • Special Projects – accounting, reporting and analyzing for special projects
  • Assist Administrative Services Director – preparation for the annual audit and monthly financial statements and other special accounting projects

Office Manager Responsibilities

  • Oversee all building and equipment maintenance, and security for all facilities
  • Monitor procedures for opening, closing, and securing the building
  • Preventative Maintenance – Ensure all office and building equipment is maintained and serviced as necessary
  • Ensure workplace appearance is at its highest level for all locations
  • Bids – obtain bids for new services and periodically for current services and analyze for more competitive rates
  • Develop system to ensure that all office needs are met

Human Resources Responsibilities

  • Recruit – actively recruiting for all positions, research best avenues for recruiting, and ensure each position is recruited for in the most effective manner
  • Interview – schedule interviews, develop and organize interview questions in collaboration with Program Directors, conduct phone interviews and assist in face-to-face job interviews in collaboration with the Program Directors and other stakeholders, as needed
  • Screen – screen all potential candidates by performing reference and background checks
  • New Hire Orientation and Onboarding – create and implement a formal new hire orientation and onboarding process as well as continually researching more effective ways to onboard employees
  • Contractual employees – assist with creating and reviewing contractual employee agreements
  • Updating/Reviewing/Creating/Maintaining – job descriptions, employee handbook, all records pertinent to human resources
  • Policies and Procedures – oversee creation and updating of all CAN Council policies and procedures to include crisis / emergency preparedness and training employees
